Booking Terms & Conditions

1. About these Terms
These Terms and Conditions apply to all transport services provided by Coastal QLD Transfers. By making a booking, you agree to be bound by these terms, which ensure a safe and reliable experience for all passengers. Our pricing is designed to be all-inclusive pricing with no hidden fees.
2. Bookings and required details
To ensure a seamless transfer, the following details are mandatory at the time of booking:
- Primary contact name, phone number, and email address.
- Flight number (for airport pickups) to allow for real-time tracking.
- Accurate number of passengers and luggage requirements.
- A $10 AUD / 50 RMB deposit is required to secure your booking.
3. Confirmation
Your booking is only confirmed once the deposit has been paid and you have received a confirmation email or SMS from Coastal QLD Transfers. Please review the details in your confirmation carefully.
4. Flight Tracking & Waiting Time
We monitor all incoming flights in real-time. We provide the following complimentary waiting periods:
- International (1h 20m):1 hour and 20 minutes of free waiting time from the moment the plane lands.
- Domestic (30m):30 minutes of free waiting time from the moment the plane lands.
- If you are delayed beyond these times due to luggage or customs, please contact your driver immediately. Additional waiting fees may apply after the grace period.
5. No-Show Policy
If the passenger cannot be located or contacted within the allocated waiting period, it will be considered a "No-Show." In this event, the booking will be cancelled and the full fare (or deposit) will be forfeited.
6. Cancellations & Refunds
Our refund policy depends on the nature of the cancellation:
- Personal Changes:The $10 AUD / 50 RMB deposit is non-refundable if you cancel or change plans for personal reasons.
- Verified Flight Changes:If your flight is cancelled or rescheduled by the airline and we are unable to accommodate the new time, your deposit will be fully refunded.
- Cancellations made within 24 hours of the pickup time for non-flight related reasons remain non-refundable.
7. Changes to Bookings
Any changes to your booking (time, date, or location) must be requested at least 12 hours in advance and are subject to availability. While we strive to accommodate changes, we cannot guarantee availability for last-minute adjustments.
8. Passenger Conduct & Safety
We maintain a strict smoke-free and alcohol-free environment inside our vehicles. Drivers reserve the right to refuse service to any passenger who is intoxicated, abusive, or poses a safety risk.
9. Vehicle Capacity & Luggage
Passengers must disclose excessive luggage (e.g., surfboards, bike boxes, or golf clubs) at the time of booking. Failure to do so may result in the vehicle being unable to accommodate all items safely, and extra costs may apply for a larger vehicle.
10. Child Seats & Family Travel
Safety is our priority. We provide complimentary child restraints:
- Please specify the age and weight of the child during booking.
- We offer rear-facing capsules, forward-facing seats, and booster seats.
- It is the parent/guardian's responsibility to ensure the child is correctly secured in the provided seat.
11. All-inclusive Pricing
The quoted price includes all tolls, airport parking fees, and taxes. There are no surprise surcharges. The balance of the fare is payable directly to the driver via cash or card upon completion of the journey.
12. Damage to Vehicles
Any damage caused to the vehicle by a passenger (including cleaning fees for illness or spills) will be charged to the person who made the booking. Professional cleaning fees start from $150 AUD.
13. Delays & Service Disruptions
While we pride ourselves on punctuality, Coastal QLD Transfers is not liable for delays caused by circumstances beyond our control, such as extreme weather, road accidents, or major traffic congestion.
14. Liability
Coastal QLD Transfers carries full commercial passenger vehicle insurance. However, we are not responsible for any loss of personal items left in the vehicle or any consequential loss resulting from service delays.

- Third-party service providers (like payment processors) essential to our operations.
4. Data Security
We implement industry-standard security measures to protect your personal data from unauthorized access, loss, or disclosure. All digital communications are handled via secure, encrypted channels.
5. Access and Correction
You have the right to request access to the personal information we hold about you and to ask for corrections if the data is inaccurate or incomplete.
